You've mentioned a few times about character sheets, cards, general info and whatnot. Now you've got me curious, especially since we aren't gathered 'round a table with each other.
Without giving anything away, how about a picture of your 'layout' of paperwork and such that you work with to keep this thing going?

I have a folder.
The monsters have combay cards with key info (AC, Fort, Ref, Will, Initiative, HP, status, major attacks).
PC's have similiar cards but without the attacks.
I put the cards in initiative order at the beginning of each encounter and flip through them in order to resolve actions.
"rolls" are generate with a RNG on my palm. I "roll" a couple dozen attacks and different dice damages and put them on a piece of paper. I mark them off in order as used (rolling as needed too WAY too long).
I also have charater sheets printed out for all PC's in case you don't put enough info for me to figure out your attacks.
I also made a 1 page PC summary sheet with key statistics that I can refer to when needed. (I can post that, if desired).
The adventure, PC combat cards, NPC combat cards, maps, etc are in a folder that I carry around. I don't have any of the books available at work (electronic or otherwise) so sometimes I have to either make a call or wait until I get home to look it up.
I usually have the adventure map and the game thread open on my PC all the time.
That's about it.

I'm glad you have a workplace that you can have all that stuff around. Or at least an office where no one annoys you about it.
On a different note: Thank you thank you for including the map link with the initiative listing for each round. Easy to get to, and a good reminder to take a closer look at it.
